What's Included in Your Syspro Subscription (And Why It Matters)

24 July, 2026

If your business has already moved onto Syspro's subscription licensing, or is due to move across soon, it is easy to assume the only thing that changes is how you pay for it. In practice, subscription licensing gives you access to the full breadth of the Syspro platform, including modules that may never have been part of your original set up.

For a lot of SME manufacturers, that is genuinely good news, but it is also easy to miss. Nobody sends you a list of everything you are entitled to use once the change happens. So we wanted to set out plainly what subscription licensing actually changes, and why it is worth a proper look, whether you are already on it or still planning the move.

What subscription licensing actually changes

Under the previous licensing model, most Syspro customers paid for a defined set of modules based on what they needed at the time of purchase. Anything outside that set up needed a separate conversation, a business case and usually an additional cost.

Subscription licensing removes that barrier. Rather than licensing individual modules, your subscription covers the platform as a whole. That means the modules sitting unused in your system are not locked away behind a purchase decision. They are already part of what you are paying for.

The shift is straightforward in theory, but the practical impact is bigger than it first appears. Many manufacturers who have already made the move are running Syspro exactly as they always have, unaware that the licensing change has quietly opened the door to a lot more functionality. If your move is still ahead of you, it is worth knowing this in advance so you can start planning how to make use of it as early as possible, rather than realising months down the line what you could have been doing all along.

The modules you may not realise you already have

A handful of areas come up often, whether we are speaking to customers already on subscription licensing or those preparing to move across.

The first sits around quality. Lot Traceability, Serial Tracking, Engineering Change Control, RMA, RTS and the full Quality Management module are all separate pieces of functionality, but together they build a much stronger quality management picture across the business, from raw material through to finished product and any returns that follow.

The second is Syspro Mobile Warehouse. Some of you will know this by its older name, riteSCAN, which HIT Technology has been supplying and supporting across the UK and Ireland for well over a decade. Syspro acquired riteSCAN in 2025 and folded it into the core platform under its new name, which means it is now included in subscription licensing rather than sold separately. It gives your team a mobile interface for inventory movements and work in progress transactions, so barcoding technology can be used properly across your operation rather than in one isolated corner of it.

Enterprise Asset Management is another area worth a look, particularly if maintenance is currently managed on spreadsheets or in someone's head. It brings preventative maintenance scheduling, asset history and breakdown tracking into the same system you already use for production, rather than treating maintenance as a separate exercise altogether.

Supply Chain Portal is worth a mention too. On the supplier side, it gives your supply base a direct way to handle RFQs and quoting, rather than relying on back and forth emails to keep procurement moving. Customers benefit from the same kind of visibility, with a controlled way to check order confirmations, stock availability or delivery updates without every query landing on your team's desk. The latest version has gone a step further too, with new functionality that lets customers create sales orders directly through the portal rather than raising them with your team first.

These are just a few examples. Depending on your business, there may be others worth exploring around planning, reporting or financial control.

Why this matters for SME manufacturers

Manufacturing margins are tight and headcount is usually stretched, so it is worth making the most of every part of your subscription. The financial barrier to using this functionality has already been removed, whether that change has already landed for your business or is still on its way. The only thing standing between you and that value is a plan.

There is a competitive angle too. Manufacturers who take the time to properly implement traceability, mobile data capture, planned maintenance, supplier and customer self-service or better reporting are making faster, better informed decisions than those who are not. None of that requires new software spend once you are on subscription licensing. It requires knowing what you have, or will have, and using it well.

Turning access into action

Knowing that a module exists and knowing whether it is right for your business are two different things. That is exactly the gap our workshops are designed to close, whether you are already on subscription licensing or getting ready to move across. We sit down with your team, walk through what your subscription includes or will include, and help build a realistic roadmap for the areas most likely to make a difference to your operation.

There is no cost and no obligation attached to the workshop itself. It is simply the fastest way to turn a licensing change into something your business actually benefits from.
